We can provide online elections or traditional paper-based elections, depending on the needs of your board and school community. Our online system has been designed to be easy to access and understand as well as fast, because we understand that making the experience as simple as possible is important to increasing engagement with your community.
The Election Lifecycle
Election Set Up
This is where our Mission Control team find out what you need in an election, what rules you need to follow, the timeline that will work for you, who will be involved etc.
Finalising the Electoral Roll
The electoral roll is a list of all the people or organisations eligible to vote in your election. We need this so we know who is eligible to be nominated and to vote, and how to contact them.
Your electoral roll will need to include all eligible voters and their contact information, but we will let you know exactly what is needed depending on the type of election we are running for you.
Nominations
There will be a period of time when nominations are accepted and will depend on your organisation and the rules you need to follow. (This could be included in your constitution, trust deed, applicable legislation etc).
During this time our team will check to make sure the candidates meet the requirements set for your election and approve them. In the set up phase we would have agreed on how invalid nominations are handled and any additional checks that are needed.
The election organisers will have access to our admin portal so you will be able to see who has been nominated, if they have been accepted and if they have provided a candidate statement and/or profile photo, all of this in real time.
Voting
All eligible voters are sent a voting pack. We prefer electronic elections because we see better voter turn out and engagement.
For electronic elections voters will receive an email with voting instructions and a unique link to your election. From there they can see the list of candidates, read their candidate statements and cast their votes.
Election organisers will be able to monitor voter turnout in real time through the admin portal. You will be able to see the total number of registered voters, the number who have voted and your voter turnout percentage. You will not be able to see who has voted for who or how many votes each candidate has.
Counting Votes & Publishing Results
Once voting has closed, all electronic votes are counted automatically. If there is paper-based voting as well, these votes will be added to the totals.
If there is a tie in your election, our team will manage the tie to be broken according to the election plan we discussed in the beginning.
Once the results have been finalised, we will send a copy of the declaration of results to all the candidates as well as to the election organisers. You can publish this to your community as required by your election rules and the election is complete.
